Roovie™ Acceptable Use Policy

Version 1.0 · Last updated: October 28, 2026

1. About This Policy

1.1 Who it covers. This Acceptable Use Policy (this "Policy") sets the rules for using Roovie, the building-modeling and energy-analysis software of NanoTech Inc., DBA NanoTech Materials Inc. ("NanoTech"). It applies to each Customer and User under the Roovie™ Beta Terms and Conditions (the "Terms"), and to anyone who uses Roovie's public demo, estimate forms, results links, or other public features.

1.2 How it fits with the Terms. This Policy explains and adds detail to the restrictions in Terms Section 4.2 and the duties in Terms Section 6. If this Policy and the Terms conflict, the Terms control. Conduct this Policy describes as a misuse of the Service, an Output, or Confidential Information is also a breach of the Terms where the Terms prohibit it, whether or not this Policy was separately accepted. Capitalized terms have the meanings in the Terms.

1.3 Customer responsibility. Customer is responsible for its Users' compliance with this Policy, as Terms Section 2.2 provides.

2. Accounts and Access

2.1 Your own access. Use only the account and permissions you were given. Do not share sign-in credentials, let someone else use your account, or create accounts with false information or to get around a suspension, trial, or limit.

2.2 Limits and credits. Do not bypass or manipulate usage limits, credits, plan entitlements, rate limits, or billing, including by splitting one organization's work across accounts or automating requests to avoid charges.

2.3 Automated access. Access the Service only through its user interface and the interfaces NanoTech authorizes. Do not scrape, crawl, or harvest the Service, its Outputs, public pages, or other users' information, or send automated traffic that degrades the Service for others.

2.4 Links and invitations. Invite and share with people only for a legitimate project purpose. Results links, shared views, and invitations give access to whoever holds them; forward them only to people who should see that content, and revoke them when no longer needed.

3. Security

3.1 No attacks or probing. Do not probe, scan, or test the vulnerability of the Service, breach or work around authentication or security measures, access data or accounts that are not yours, or interfere with the Service's operation, including through denial-of-service attacks or excessive load. Security testing requires NanoTech's prior written permission.

3.2 No harmful code. Do not upload or transmit viruses, malware, or other harmful code, or files built to exploit the software that reads them.

3.3 Reporting vulnerabilities. If you find a security vulnerability, report it to legal@roovie.com with enough detail to reproduce it, give NanoTech a reasonable time to fix it before any disclosure, and do not access, keep, or change other people's data while investigating. Good-faith reports made this way are welcome.

4. Your Content and Other People's Information

4.1 Rights to what you upload. Upload only plans, drawings, documents, photos, scans, and data that you or Customer have the right to use for the project, as Terms Section 5.3 requires. Do not upload content that infringes someone else's intellectual property or breaks a confidentiality obligation you owe.

4.2 Personal information. Include personal information only when the project needs it. Do not upload passwords, payment-card numbers, health, biometric, or children's information, or classified or export-controlled data, without a separate written agreement with NanoTech.

4.3 Scans and photos of occupied spaces. When you photograph or scan a building, get permission from the owner and, where the space is occupied, from the people who live or work there. Avoid capturing people, documents, screens, and personal items that the project does not need, and remove them where you can before upload.

4.4 Connected devices. Connect thermostats, sensors, and other devices only with the authority of the device owner and in line with the rights of the people in the building. Do not use device readings to monitor individual people.

4.5 Unlawful or harmful content. Do not use the Service to store or share content that is unlawful, defamatory, harassing, threatening, sexually explicit, or that promotes violence or discrimination.

5. Messaging and Collaboration

5.1 Messages people want. Use invitations, email, text messages, and chat in the Service only for project communication with people who expect it. Do not send spam, bulk unsolicited messages, or marketing through the Service.

5.2 Text messages. Text messages require each recipient's own opt-in and follow the Roovie SMS Terms at https://www.roovie.com/legal/sms. Do not enter someone else's phone number to sign them up.

5.3 Respectful conduct. Do not harass, threaten, or impersonate anyone, including NanoTech staff or other Users, or misrepresent your affiliation with a person or organization.

6. Using Roovie AI

6.1 What Roovie AI does. Roovie uses AI to read drawings and documents, build and correct building models, propose settings and fixes, answer questions, and carry out actions you ask its assistants to take. As Terms Section 6.5 explains, AI-generated, inferred, and defaulted information can be inaccurate or incomplete, and validation and confidence indicators describe the checks performed, not the actual building.

6.2 Review before you rely. Check AI-proposed geometry, values, assumptions, and changes before relying on them, paying particular attention to values Roovie marks as inferred, defaulted, or unverified. Before using results for final design, construction, compliance, equipment selection, financing, or performance commitments, have them reviewed by qualified professionals, licensed where required, as Terms Section 6.3 requires.

6.3 Presenting AI-assisted results. Present results to clients and other Recipients as modeled estimates with their material assumptions and limitations, as Terms Section 6.2 requires. Do not present AI-assisted Outputs as measurements, guarantees, stamped or sealed engineering work, or code or program certifications, or suggest NanoTech has certified them. You do not need to label which parts of a deliverable were AI-assisted.

6.4 Changes assistants make. Roovie's assistants act on your requests within your project, and some actions change models, runs, or settings. You are responsible for the actions you ask for and approve. Review the changes an assistant reports, and use the Service's undo, version, and Trash features to reverse any you do not want. Do not use assistants to make changes in projects you are not authorized to edit.

6.5 Prohibited AI uses. Do not: (a) try to make Roovie AI ignore its instructions or safeguards, including through jailbreaks or prompt injection; (b) hide instructions in uploaded files, drawings, or text that are meant to manipulate Roovie AI or the people reviewing its results; (c) try to extract system prompts, hidden instructions, model weights, or another customer's information through Roovie AI; (d) use Roovie AI for purposes unrelated to buildings, energy, and the projects in your account, or as a general-purpose AI service; (e) send high-volume or automated requests to harvest Outputs, or use Outputs to train or evaluate AI models or build competing software, as Terms Section 4.2 prohibits; (f) use Roovie AI to create deceptive, fraudulent, or impersonating content, including falsified reports, certifications, or utility data; (g) use Roovie AI or Outputs to make decisions about individuals, such as tenant screening, employment, credit, insurance, or eligibility for housing or public benefits; or (h) let AI-proposed changes operate building equipment, or rely on them for life-safety or structural-safety decisions, without qualified human review, as Terms Section 4.2 prohibits.

6.6 Data and training. How NanoTech and its AI providers may use project information is governed by Terms Section 5, including Terms Section 5.6, which requires provider terms that do not permit providers to train on that information, and by the Roovie Data Processing Addendum at https://www.roovie.com/legal/dpa for personal data. This Policy does not expand those permissions.

7. Other Prohibited Uses

Do not use the Service: (a) in violation of law, including privacy, consumer-protection, intellectual-property, anti-spam, export-control, and sanctions laws; (b) for or on behalf of anyone on a U.S. government restricted-party list or in a sanctioned country or region; (c) to create misleading analysis or misrepresent a building's performance, as Terms Section 4.2 prohibits; (d) to copy, reverse engineer, benchmark publicly, resell, or sublicense the Service except as the Terms permit; or (e) to help anyone else do any of these things.

8. Reporting and Enforcement

8.1 Reporting misuse. Report suspected violations of this Policy, or content that violates it, to legal@roovie.com. Report privacy concerns to privacy@roovie.com.

8.2 Serious violations. For security attacks, unlawful activity, harmful code, abuse of messaging or AI features, scraping, credible rights complaints, or conduct that puts other customers, individuals, or the Service at risk, NanoTech may immediately suspend the affected access, disable the affected feature, or remove or restrict the affected content, as Terms Section 9.3 permits, giving notice as that Section provides.

8.3 Other violations. For other violations, NanoTech will first notify Customer's administrator or the User involved, describe the problem, and give a reasonable opportunity to correct it before suspending access, unless the violation recurs or is not corrected.

8.4 Further steps. NanoTech will limit any suspension or restriction to what is reasonably necessary and restore access when the cause is resolved. Material or repeated violations may lead to termination under Terms Section 9.2. NanoTech may report unlawful activity to the appropriate authorities and cooperate with lawful requests.

8.5 Questions and disagreements. If you believe NanoTech acted on this Policy in error, contact legal@roovie.com, and NanoTech will review the decision promptly.

9. Changes

NanoTech may update this Policy by publishing a new version and notifying Customer's administrator. Updates that clarify existing rules or address new features or risks take effect on notice. Updates that materially add to Customer's or Users' obligations require acceptance as Terms Section 13 describes.
